Why Third-Party Email Archiving






If you move your email to the cloud, you also have the option of adding on email archiving from a third party. Archiving your email is a smart business decision, but with so many options out there, choosing the best solution for your organization can be an overwhelming undertaking. Some providers, like Google and Microsoft, have developed their own hosted archiving solutions, while others (e.g., Intermedia) have teamed up with third-party archiving providers to offer more complete solutions. Third-party archiving offers a lot of benefits that you might not receive if you choose to use a built-in solution (i.e., a feature of your cloud email platform, such as Microsoft Exchange 2010 or Google Apps Premier).

There are several things you should consider before you choose an email archiving solution. While a basic, built-in solution may work well for some companies, a more comprehensive solution may be in order for others. Answering the following questions is a good place to start.
  • Are you, have you been or are you likely to be involved in a lawsuit of any kind? If so, you need an email archiving solution with comprehensive e-discovery features.
  • Is your company heavily regulated (i.e., do you have to adhere to specific regulations, such as FINRA, SEC, SOX, GLBA, HIPAA, etc.)? Keep in mind, any company that has a chance of being involved in litigation within the U.S. Federal Court System must comply with the Federal Rules of Civil Procedure (FRCP).
  • Do you want to equip your end users with access to their own personal archives? This valuable tool significantly reduces the burden on your IT resources and allows your staff to be more productive overall.
  • Are you concerned about email storage quotas (even after moving to a hosted email provider)? According to a recent Radicati Group, Inc. study, the number of worldwide email users is projected to increase from over 1.4 billion in 2009 to almost 1.9 billion by 2013. In addition, while worldwide email traffic will total 247 billion messages per day in 2009, this figure will almost double to 507 billion messages per day by 2013. It is imperative to keep this unprecedented growth in mind as you determine what archiving solution best meets your specific needs.
In many cases, you may need a more robust email archiving solution than the one being offered by your cloud email provider. However, only a select few third-party email archiving solutions will seamlessly integrate with your chosen cloud-based email solution so choose carefully. You want to make sure your solution meets key business requirements.

As noted, only some pure cloud-based archiving solutions integrate with all of the cloud email platforms, while on-premise, appliance and hybrid archiving solutions cannot simply plug into the cloud.   2. They use log shipping or event syncing technologies (for copying data to the archive) which cannot be supported by cloud email providers
